Order emails: sending orders to suppliers

Send with getstoqd (no setup), or send from your own email with step-by-step setup for Gmail, Yahoo, iCloud, Zoho, Microsoft and others.

Open Settings → Order emails. On a Hub, do this on the Hub PC. On getstoqd Cloud, an owner or manager does it. There are two ways to send:

Send with getstoqd (recommended)

Nothing to set up. Type your email and save. Orders arrive as “Your business (via getstoqd)” <orders@getstoqd.com>, and when a supplier hits Reply, it goes straight to your email. Tick Send me a copy to get a copy of every order.

Send from my own email

Orders come from your own address, for example orders@yourrestaurant.com. You’ll need your provider’s SMTP server and, for most providers, an app password. That’s a separate password just for getstoqd, so your real password is never stored. Pick your provider in the Order emails screen and the server and port fill in for you. Then click Save and send a test.

Gmail / Google Workspacesmtp.gmail.com · port 587
Yahoo / AOLsmtp.mail.yahoo.com · port 465 (AOL: smtp.aol.com · 465)
iCloud Mailsmtp.mail.me.com · port 587
Zoho Mailsmtp.zoho.com · port 465 (paid / own domain: smtppro.zoho.com)
GoDaddy emailsmtpout.secureserver.net · port 465
Microsoft 365 / Outlooksmtp.office365.com · port 587 (see the warning below)

Gmail and Google Workspace

  1. Turn on 2-Step Verification: go to myaccount.google.com/security. App passwords only appear once it’s on.
  2. Open myaccount.google.com/apppasswords, type a name like getstoqd and click Create.
  3. Copy the 16-letter password Google shows. You won’t see it again.
  4. In getstoqd: provider Gmail, username = your full Gmail address, password = the app password, “Orders come from” = the same address.

Google Workspace (your own domain on Gmail): if App passwords is missing, your Workspace admin has turned it off. Ask them, or use Send with getstoqd.

Yahoo and AOL

  1. Sign in and open Account Info → Account security.
  2. Click Generate app password (also called Manage app passwords), name it getstoqd, and copy the password.
  3. In getstoqd: provider Yahoo / AOL, port 465, username = your full email address, password = the app password. For AOL, change the server to smtp.aol.com.

iCloud Mail

  1. Your Apple Account needs two-factor authentication (most have it already).
  2. Go to account.apple.com → Sign-In and Security → App-Specific Passwords and create one named getstoqd.
  3. In getstoqd: provider iCloud Mail, username = your full iCloud email address (for example name@icloud.com), password = the app-specific password.

Zoho Mail

  1. If you use two-factor sign-in, go to My Account → Security → App Passwords and generate one for getstoqd. Otherwise use your Zoho password.
  2. In getstoqd: provider Zoho Mail. If your Zoho address is on your own domain (a paid plan), change the server to smtppro.zoho.com. Outside the US, use your region’s server (for example smtp.zoho.eu).

GoDaddy and other web hosts

Most web hosts give you SMTP details in your email control panel. Look for “SMTP”, “outgoing server” or “email client setup”. Classic GoDaddy email uses smtpout.secureserver.net on port 465. If your GoDaddy email is Microsoft 365, follow the Microsoft section below. Username is usually the full email address.

Microsoft 365, Outlook.com and Hotmail

Microsoft has turned off password sign-in for sending from other apps on Outlook.com, Hotmail and Live, so app passwords no longer work there. For Microsoft 365 business accounts, it’s being turned off by default from the end of 2026. We recommend Send with getstoqd, which works with any email address as your reply-to.

If you run Microsoft 365 and want orders sent from your own mailbox, your IT admin can turn on Authenticated SMTP for that mailbox (Microsoft 365 admin center → Users → the user → Mail → Manage email apps). Then use server smtp.office365.com on port 587 with the mailbox’s address and password.

Other providers

Choose Other and enter your provider’s SMTP server and port. Port 587 is the usual one, and 465 is the alternative. If a test fails, the message says why. The usual fixes are an app password, the full email address as the username, or trying the other port.

Privacy

On a Hub, your email settings stay on the Hub PC. On getstoqd Cloud, the password is stored encrypted and only used to send your orders. With Send with getstoqd, we send the order and don’t keep a copy of it.
